Parkhead Hub room booking terms and conditions

Community room use

Quick summary for external groups:

  • community rooms are for third‑sector organisations, charities, and local community groups working in the North East of Glasgow
  • activities must support community wellbeing and reflect the Hub’s values of inclusion, accessibility, and respect
  • all bookings must be approved in advance and are confirmed by email
  • rooms must be used only for the agreed purpose and within the booked time
  • there is no charge for using community rooms
  • groups are responsible for:
    • safety and behaviour of attendees
    • leaving rooms tidy and reporting any issues
  • Parkhead Hub is a smoke‑free and vape‑free site
  • if the fire alarm sounds (except during the Wednesday test at 9am), leave the building immediately and go to the assembly point
  • bookings may be refused or cancelled if these conditions are not followed

Terms and conditions

These terms explain how external organisations can book and use community rooms at Parkhead Hub. By booking or using a room, you agree to follow these conditions.

Who can book community rooms:

  • third‑sector organisations
  • charities
  • local community groups

Groups must usually be working in the North East of Glasgow and delivering activities that support community wellbeing.

Purpose of bookings

Activities must align with Parkhead Hub’s values of:

  • inclusion and accessibility
  • respect and non‑stigmatisation
  • improving health, wellbeing, and community connection

We prioritise activities that support:

  • community engagement and social connection
  • health and wellbeing (physical and mental)
  • social prescribing and community referral activity
  • education, training, employability, equality, and arts‑based activity

Booking approval

  • we need to approve all bookings. We’ll email you to confirm your booking 
  • rooms are allocated on a first‑come, first‑served basis
  • each request is considered individually

 Where possible, alternative options will be discussed.

Booking times

Community rooms are available during building opening hours:

  • Monday to Friday: 8:30am to 8pm
  • Saturday: 10am to 5pm

Bookings must start and finish at the agreed times. Overrunning may affect future bookings.

Notice periods and cancellations

  • please submit booking requests at least three working days in advance
  • block bookings may be considered but are reviewed individually
  • if you need to cancel, please notify reception as early as possible
  • non‑attendance without notice may affect future booking requests

Costs

There is no charge for using Parkhead Hub community rooms.

Using the facilities

When using a room, external groups must:

  • use the room only for the agreed purpose
  • leave the room tidy and in its original layout
  • dispose of waste properly
  • report any issues or damage to reception

You are responsible for everyone attending your booking.

Health, safety, and behaviour

External users must:

  • follow all health and safety instructions
  • ensure appropriate risk and safeguarding arrangements are in place
  • behave respectfully towards staff and other Hub users

Parkhead Hub is a smoke‑free and vape‑free site, including outdoor areas.

Unsafe, disruptive, or aggressive behaviour will not be tolerated and may result in bookings being cancelled.

Fire safety and evacuation

The fire alarm weekly test will take place every Wednesday at 9amAny alarm heard at another time must be treated as an emergency and you should follow the step below:

  • stop your activity immediately
  • leave the building straight away
  • follow staff instructions
  • go to the nearest fire assembly point as detailed below

If you are leading a group, you must ensure everyone using your booked space evacuates.

Assembly points are clearly signposted:

  • opposite the main entrance
  • at the staff car park on the east side of the building

Equipment and electrical items

  • any equipment provided must be used in line with instructions
  • equipment must not be unplugged, altered, or removed
  • personal electrical items must not be used without prior approval

Food and drink

  • cold food and drinks may be consumed in group rooms
  • hot or strong‑smelling food is not permitted
  • groups must clean up after themselves

Refreshments can be arranged directly with the on‑site café.

Reputation and misuse

Activities held at Parkhead Hub must not bring Glasgow City Health and Social Care Partnership into disrepute.

Damage, vandalism, or misuse of facilities may result in:

  • loss of future booking permissions
  • further action where appropriate

  • a copy of your Public Liability Insurance
